Deputy Registrar

Category: Cadre C1.2

Department: Academic Affairs

Supervisor: University Registrar or any other supervisor designated by the president.

The Deputy Registrar has a key management role in Academic Affairs and within the Registrar鈥檚 Office operations. The Deputy Registrar is responsible for the creation and management of strategic long-term and short-term planning concerning functional area processes, oversees the daily operations of the Registrar Office, and takes the lead in data reporting & management.

DUTIES

Office Management:

  • Oversight of all overlapping tasks and procedures within both the Registrar鈥檚 Office and the institution, with an eye towards big picture decision making.
  • Manages Registrar鈥檚 Office daily business processes and oversees overall office process workflow for current & future semester cycles, from scheduling and orientation, through registration and commencement.
  • Point person for Assistant Registrars and Office Assistants in answering questions, solving issues, etc.
  • Uses professional judgement to determine which office issues to escalate to University Registrar
  • Oversees & manages Basecamp tasking system.
  • Supervises Assistant Registrars鈥 work during their absences; must have an integral understanding of this work

Data/Systems Management:

  • Responsible for the management & maintenance of the academic portion of the Student Information System, requiring back-end set up and running various processes.
  • Responsible for academic record-keeping within SIS, involving record maintenance (& record maintenance supervision), transferal of data between systems, and coordination of associate system use across units (as related to academic record maintenance).
  • Responsible for data integrity and Registrar Office reporting.
  • Key liaison with ITS for software modifications, updates, and enhancements to the Registrar Office鈥檚 online tools and reporting.
  • Working knowledge of how the technical components such as the SIS, CRM, LMS and Academic Catalog integrate. Key liaison for ITS in development of improved systems and longer-term system development projects.

Development and Implementation of new processes:

  • 听Awareness and ability to suggest process improvements as part of day-to-day business oversight and evaluation.
  • During the creation of new policies or the implementation of curricular changes that necessitate new or updated processes, Deputy Registrar develops strategy, tests and implements change inclusively with all impacted faculty and staff members.
  • Trains Registrar Office staff on developing this mindset, regarding how to identify and implement process improvements.

Deputy Duties:

  • Stands in for the University Registrar during absences or when need arises for:

Assistant Director of US Admissions 鈥 US-BASED

POSITION OVERVIEW:

The Assistant Director recruits, admits and yields students from designated regions in North America for programs at The American University of Paris (绿巨人视频) in Paris, France. Programs include Bachelors, Masters, Summer, First Year Abroad and COOP (study abroad). The counsellor works from home and reports to the Director of US Admissions.

For this role, the territorial responsibilities are likely to include US states in the South and Southeast.

RESPONSIBILITIES:

Although subject to change by the University, responsibilities specific to this post are:

  • The recruitment, admission and yield of full-degree students to 绿巨人视频鈥檚 degree programs.
  • Design, management and execution of US-based events, with a primary focus on student and parent yield receptions.
  • Management of students from designated First Year Abroad Programs, from the point of application to enrolment.
  • Maintain the annual US admissions recruitment calendar and implement associated calendar tools.
  • The analysis and interpretation of admissions data across both the US and Paris-based teams.

DUTIES:

The role will develop and follow a marketing and recruitment plan to achieve enrollment targets using multiple recruitment platforms, including online and social-media based recruitment and other 鈥榓rmchair鈥 recruitment strategies. The position also requires travel within assigned regions of North America visiting high schools and colleges, attending college and graduate fairs and meeting with advisors, students, families, faculty, alumni and others possible contacts to promote 绿巨人视频 programs.

Specific responsibilities will vary according to the time of year and the changing circumstances of the student recruitment market. However, the following tasks will form a significant proportion of this role:

Marketing and student recruitment

  • Devising and implementing marketing, student recruitment and communications campaigns in all designated territories;
  • Supporting the applications of First Year Abroad students as designated;
  • Providing correct and up-to-date information on 绿巨人视频 through all possible communication channels;
  • Participating in appropriate outreach activities as assigned by Director;
  • Serving as a liaison between the University and prospective students and their families;
  • Responding to general enquiries of all kinds in a timely manner;
  • Contributing to the execution and development of marketing and yield programs primarily targeting but not limited to assigned territories;
  • Developing and executing Online Information Sessions for all prospective and accepted students;
  • In association with colleagues, the analysis of relevant data (CRM and external) to help support tactical and strategic decision-making across both the US and Paris-based teams;
  • Data entry to the CRM system (Slate) operated by the University;

Admissions and financial aid

  • Advising students, counsellors and parents in all matters related to applying to, and attending 绿巨人视频;
  • Reading applications and making admissions decisions on completed application files in an agreed and timely manner;
  • Providing information concerning financial aid to applicants and making recommendations to the Financial Aid supervisor concerning aid to be offered;
  • Providing information concerning financial aid to First Year Abroad Programs applicants (all partners) and making recommendations to the Financial Aid supervisor concerning aid to be offered;
  • Providing admissions support for students coming to the University under our First Year Abroad Programs;
  • Maintaining and verifying statistical data related to all assigned territories;

Market research and market development

  • Gathering all relevant data and other market information from assigned and other territories that may potentially impact on the development on future student recruitment activities;
  • Monitor the conditions relevant to student recruitment in all assigned territories;

Administrative Duties

  • Managing Fair registrations and payment for the traveling US Team;

QUALIFICATIONS:

Minimum

  • Bachelor鈥檚 degree or equivalent;
  • English, with fluency in French preferred;
  • Experience in international student recruitment and marketing in a variety of settings;
  • CRM familiarity, with Slate experience preferred;
  • Excellent interpersonal skills, clear communicator and confident with a range of people;

Administrative and Advancement Coordinator

(Short term contract from end of April to end of September 2025, full time contract)

POSITION OVERVIEW

The Administrative and Advancement Coordinator is principally responsible for managing the gift reception, tracking, and reporting processes of the University in coordination with the 绿巨人视频 Foundation, and Finance and Accounting Develops and coordinates donor recognition reports and programs. Supports event management and alumni engagement programs and activities.

RESPONSIBILITIES

Gift Processing and Documentation 鈥 50%

  • Manage and process all gifts, including checks, online gifts, credit card payments, pledges, and other donations.
  • Perform gift entry/recording in the department CRM system for unrestricted (including Trustee gifts),听programmatic, capital, campaign gifts and small grants.
  • Inform appropriate staff/board when their contacts make a gift.
  • Conduct monthly reconciliation of gifts received with the Finance Department.
  • Generate monthly and annual gift reports.
  • Liaise with the Finance Department and 绿巨人视频 Foundation to ensure accuracy of gift/donation records and deposits.
  • Ensure adherence to established systems/controls established by auditor standards.
  • Monthly and Quarterly reconciliation of accounts with Finance
  • Update contact information, profile data and donor records to maintain the accuracy of information within Raiser Edge RE-NXT.
  • Sending pledge reminders and generating recurring gift reminders and updates to donors
  • Work with the Information Technology (IT) CRM team and other colleagues to document and implement policies around income and revenue and create associated procedures in the CRM.

Donor Recognition and Stewardship 鈥 40%

  • Preparing gift agreements and memos to document gifts to 绿巨人视频 and the 绿巨人视频 Foundation
  • Provide accurate reports and donors lists for recognition activities including signage, plaques, board meetings and other presentations or reports.
  • Generate donor reports for Board of Trustees and PAAC membership
  • Collaborate with Financial Aid to develop annual reports on scholarship and other donor supported activities.鈥 Develop and distribute an annual endowment report for donors to the 绿巨人视频 Foundation and 绿巨人视频 restricted (endowed or quasi-endowed) funds.
  • Support the development of annual scholarship recognition events and activities involving students and donors.

Office and Relationship Management 鈥 10%

  • Provide support for events organized and hosted by Development and Alumni Relations such as making reservations and obtain quotes for events, create name tags, managing RSVPs, event set up and liaising with maintenance teams, caterers, etc.
  • Greeting visitors to the office and providing alumni and campus tours when necessary.
  • Assisting with Paris office management such as ordering supplies and organizing storage space.

Other Duties as Assigned

  • As a member of a small team, the Administrative and Advancement Coordinator will regularly be called upon to assist with other departmental tasks and programs.
  • Any other duties as assigned by the Vice President for Development and Alumni Relations.

REQUIREMENTS

  • License/Bachelor鈥檚 preferred but not essential, minimum Bac + 2 or technical diploma
  • Prior experience using Raiser鈥檚 Edge or other CRM system, and experience working with gift management systems or donation software.
  • Excellent oral and written communications skills
  • Good organizational skills and a detail-oriented mindset.
  • Native or near-native English, fluency in French a plus
  • Basic understanding of the Microsoft Office suite of applications. Particularly Word (mail merges, working with templates, labels) and Excel (use of functions, lookups, PivotTables)

Assistant Professor in Computer Science / Data Science

The American University of Paris invites applications for a full-time position in the Department of Computer Science, Mathematics and Environmental Science at the rank of Assistant Professor beginning 1 August 2025.

Qualifications:

Candidates must possess a Ph.D. in computer science, data science, or a related discipline by the time of appointment (1 August 2025) and show a proven capacity for engaged teaching and research, as well as proven experience in software development (any context and language). Strong interdisciplinary interes in the social sciences or an applied discipline is an asset. Teaching experience or familiarity with liberal arts education is desirable. Assistant Professor of Developmental Psychology

The American University of Paris invites applications for a permanent full-time position (CDI) in the Department of Psychology, Health and Gender at the rank of Assistant Professor, beginning 1 August 2025. Applicants should be generalists in psychology who have developmental psychology expertise as well as demonstrate qualitative and quantitative competency, and bring a critical, socially relevant and culturally sensitive research and teaching perspective. The exact research orientation is open given a developmental approach is taken although a neuro/cognitive or clinical orientation would be a plus. Candidates should be able to offer core psychology courses as well as develop and teach courses in developmental psychology across the lifespan (infancy to older adults). The ability to contribute to the department鈥檚 major in Gender, Sexuality, and Society would also be desirable.

Qualifications: A PhD in Management, Organizational Behavior, Organization Studies, or a closely related field is required at the time of appointment. The successful candidate will have a demonstrated track record or potential for teaching excellence, service to the institution, scholarly research, and publication in the fields of management, organizational behavior, organization studies, or a related area.
